A shared picture, with clear boundaries.
Working together depends on knowing who can see information and who can change it. SchoolTrack uses school membership, roles and two-step login to control access.
Schools’ information stays separate.
School membership and database access rules restrict information to the appropriate school. A person belonging to more than one school changes school to work in its context. SchoolTrack’s database is hosted in London.
Two-step login is part of access.
Users sign in with a password and an authenticator app. School information requires both steps. Headteachers can invite people, assign roles and pause accounts.
A role gives access for a purpose.
Staff, governors and clerks have different responsibilities. Draft plans stay with people who can edit them until publication. Confidential duties, visit drafts and observations have additional access rules.
Governors’ observation summaries contain no names and suppress groups with fewer than three observations. Individual observation records are restricted according to their type and the people involved.
AI assistants use your permissions.
People with Use an AI assistant can connect Claude or ChatGPT after signing in with two-step login and approving the connection. The assistant can only access the school information and actions their role allows. It can help draft the plan and self-evaluation where the person has Edit SDP, but a person publishes the plan in SchoolTrack. Changes are recorded with the assistant named, and the person can disconnect it at any time.

Evidence stays in context.
Evidence files use private storage. A person permitted to view a file opens it through a temporary link. Changes to school records are recorded in an audit history.
Grounded in published guidance
Good school operation comes first.
The school development plan and self-evaluation connect with the Ofsted school inspection toolkit. Governance duties draw on Department for Education guidance, with their sources and basis shown in the app.
This gives leaders and governors a common reference for their work. When inspection comes around, the information gathered through the year can support those conversations.
