Enquiries and registration

When you email us, we use your contact details and message to respond and handle your enquiry. Registration collects the school name, an optional URN, your name, job title if provided, work email and account credentials. We use these details to check the request, set up access and administer the service.

For these activities Tim Jarvis trading as SchoolTrack is responsible for handling the information. We use information where needed to take steps at your request before an agreement, administer that agreement, or pursue legitimate interests in responding to enquiries and protecting the service.

Information entered by a school

The school determines what personal information it enters and who should have access. SchoolTrack processes school records to provide the service under the school’s instructions. Ask your school first about access to, correction of or removal of information it holds about you. We can help direct a request received at our contact address.

Service providers and security

The website is hosted through Cloudflare. Supabase provides the database, authentication and private evidence storage; the configured database region is London. Brevo is used for service emails. These providers process information needed to deliver their part of the service.

School membership, role checks and two-step login control access to school information. Schools should use the service carefully and keep account details secure.

Cookies and device storage

The public marketing pages do not set analytics or advertising cookies. Signing in uses browser storage to keep your session, chosen theme and application preferences. Installing SchoolTrack can store application files on your device; enabling notifications also creates a push subscription. These support the features you use.

Keeping information

Enquiries and registration information are kept for as long as needed to handle the request, administer the relationship and meet applicable obligations. School records are handled under the school’s service arrangements. Contact us to ask about the information held and the applicable retention arrangements.

Your choices and rights

Depending on the circumstances, you can ask for access to personal information, correction, erasure, restriction or transfer, and object to some uses. Email hello@schooltrack.co.uk. You can also raise a concern with the UK Information Commissioner’s Office.
